Remote Session Facilitation Handbook

The objective of this Handbook is to provide a framework that will significantly improve the value and outcomes from remote learning and other virtual discussions.  Please note that the term Remote or Virtual Session in the text refers to any live activity that is performed online with participants joining from various locations.  It includes Teleconferences, Webinars, Video Conferences or any other means of getting a number of people together at the same time with the opportunity for all participants to interact.  Cases of online training that strictly include a single individual choosing to participate at their own pace, at any time of day and for as long (or short) as they like are not included in this discussion.

Remote sessions need to accomplish 4 specific objectives

  1. Engage every participant to ensure their optimal learning and contribution.
  2. Share information that will likely make a difference immediately or in a very short amount of time.
  3. Provide an opportunity to discuss current situations and solutions.
  4. Accomplish the above in a short amount of time and in a very structured manner

SUMMARY

  1. Engage participants
    1. Ensure that participants understand that they will be asked to make numerous contributions.
    2. Make contributions specific and applicable to the learning objectives.
    3. Randomize the implication of people and remain constantly unpredictable as to when an individual will be asked to share ideas.
    4. Ensure that other people in the group are able to respond, add or comment on what other persons have provided.
    5. Create short exchanges that promote the value of participants’ insights.
    6. Highlight the value of every idea or point of view.
    7. Create a safe environment for sharing.
  1. Information that makes a difference
    1. Topics need to be in line with roles and responsibilities of participants.
    2. Bring out issues or challenges that people may have in the accomplishment of their tasks.
    3. Point out the specific outcomes that are likely to surface following the effective application of methods and principles.
  1. Discuss situations and solutions
    1. Clarify situations and circumstances for and from all participants.
    2. Favor discussions on ideas and solutions coming from peers.
    3. Offer ideas to complement shared perspective or to bring a novel point of view.
    4. Always allow time for discussion and clarification.
  1. Short and structured
    1. Remote sessions, whatever the format should be limited to 60-90 minutes each.
    2. If more time is necessary, split or separate session, either the same day with time in between to allow individuals to take care of daily responsibilities, or on different consecutive days.
    3. Every session should include a specific preparation outline or document clearly depicting the objectives, topics and specific questions/reflections every participant need to prepare.
    4. Any pre-work is completed prior to joining the session by all participants.
    5. Facilitation has to be dynamic and continually respecting the planned topics.
